By accessing or using FrontPilot AI (the "Platform"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Platform. These Terms apply to all visitors, users, and clients, whether on a free trial ("Demo Workspace") or paid subscription.
2. Definitions
"Platform" — the website at frontpilotai.com and all associated services, including the dashboard, AI chat agents, lead capture tools, follow-up automation, and integrations.
"Client" — the professional firm or individual that registers for a Demo Workspace or paid subscription.
"End User" — a visitor who interacts with a Client's instance of the Platform.
"AI Agent" — the conversational AI that responds to End Users on behalf of a Client.
"Content" — any text, data, files, instructions, or materials a Client uploads or configures within the Platform.
3. Service Description
FrontPilot AI provides an AI-powered lead capture and client qualification platform for businesses, including:
AI-powered front-desk chatbot and lead capture agent
Follow-up automation and email marketing tools
Client dashboard with metrics and reporting
Integrations with third-party tools via API where available
Features are described on our website and may be updated from time to time.
4. Account Registration & Demo-to-Paid Transition
Demo Workspace: Prospective clients receive a temporary workspace to evaluate the Platform. This workspace is provided free of charge for a limited evaluation period.
Paid Subscription: Upon subscribing (monthly or yearly), the same workspace becomes a permanent account with full features, real integrations, and ongoing support.
Accuracy: You must provide accurate, current, and complete information during registration and keep it updated.
One Account: Each Client may maintain only one active account unless otherwise agreed in writing.
Prohibited Use: You may not use the Platform for any unlawful purpose or in violation of any applicable law or regulation.
5. Acceptable Use & AI Agent Conduct
Clients must configure their AI Agent to comply with all applicable laws, including data protection, consumer rights, and sector-specific regulations.
The AI Agent may not be used to collect sensitive personal data (health, biometric, political, religious, or financial account details) unless explicitly agreed as part of a regulated service tier.
Clients are responsible for the Content they feed into the AI Agent and for how the AI Agent responds to End Users.
FrontPilot AI may moderate or block content that violates these Terms, but has no obligation to monitor all content.
6. Fees & Payment
Subscription fees are quoted in GBP (£) and are exclusive of any applicable taxes.
Payment is due according to the terms on the invoice (typically net-7 or net-14 for invoice-based clients).
Accepted payment methods: bank transfer (Wise, Payoneer), PayPal (where available), or other methods as agreed in writing.
FrontPilot AI reserves the right to suspend or terminate accounts with overdue invoices beyond 30 days.
Fees are non-refundable except as expressly stated in a written agreement.
7. Intellectual Property
FrontPilot AI IP: The Platform, its underlying technology, AI models, brand, and design are owned by FrontPilot AI. Nothing in these Terms grants you any right to use our trademarks or branding without prior written consent.
Client IP: You retain all rights to the Content you upload. You grant FrontPilot AI a limited, non-exclusive licence to use, store, and process your Content solely to provide the Platform services.
Anonymised Data: FrontPilot AI may use anonymised, aggregated data derived from Platform usage to improve its services. This data will not identify you or your End Users.
8. AI Output Disclaimer
AI-generated responses are provided as a starting point and should be reviewed by a qualified human before being used in any business-critical or regulated context.
FrontPilot AI does not guarantee the accuracy, completeness, or appropriateness of any AI-generated output.
Clients are solely responsible for reviewing and approving AI responses before they are sent to End Users in automated flows.
9. Limitation of Liability
To the maximum extent permitted by law:
FrontPilot AI provides the Platform "as is" and "as available" without warranties of merchantability, fitness for a particular purpose, or non-infringement.
FrontPilot AI shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunity, arising out of or in connection with the Platform.
FrontPilot AI's total liability to a Client for any claim arising from these Terms shall not exceed the total subscription fees paid by that Client in the 12 months preceding the claim.
This limitation does not apply to liability for death, personal injury, or fraud that cannot be excluded by law.
10. Term & Termination
These Terms remain in effect for the duration of your use of the Platform.
Either party may terminate at any time with 30 days' written notice.
FrontPilot AI may terminate or suspend access immediately if you breach these Terms, violate applicable law, or if your account is used for fraudulent or abusive activity.
Upon termination, your access to the Platform will be revoked. Your Content will be deleted within 90 days unless otherwise agreed.
11. Data Protection & Privacy
Your use of the Platform is also governed by our Privacy Policy. FrontPilot AI processes personal data as a data processor on your behalf. Where you collect personal data from End Users, you are the data controller and are responsible for obtaining any necessary consents and providing adequate privacy notices.
12. Third-Party Services
The Platform integrates with third-party services including Brevo (email delivery), Cloudflare (security), and others listed in our Privacy Policy. These services have their own terms and privacy policies. FrontPilot AI is not responsible for the operation, security, or availability of third-party services.
13. Google API Services & Gmail Integration
Our Platform integrates with Google APIs, including Gmail, through OAuth 2.0. When you connect your Gmail account, the following terms apply in addition to the rest of these Terms:
FrontPilot AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We do not read, store, or process email body content unless you explicitly activate the Mailbox service with Mira AI.
Gmail data accessed through our Platform is used solely to provide the Mailbox service features: inbox triaging, priority flagging, draft reply suggestions, label management, and weekly digests.
You may revoke our access to your Gmail account at any time through your dashboard settings or directly via Google Account permissions.
We do not sell, share, or transfer your Gmail data to any third party for advertising, data mining, or any purpose other than providing the contracted services to you.
14. Governing Law & Dispute Resolution
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms shall first be attempted to be resolved informally by contacting [email protected]. If unresolved, the courts of England and Wales shall have jurisdiction.
15. Changes to These Terms
We may update these Terms from time to time. Material changes will be notified via email or by a notice on the Platform. Continued use after the effective date constitutes acceptance of the updated Terms.
